Job management software or a custom portal? How to choose
Tradify, ServiceM8 and simPRO suit most trade businesses. When off-the-shelf job software is enough, and when a custom portal earns its cost.

If you’re running jobs from a whiteboard, a group chat and a spreadsheet, you’ve probably looked at job management software. Tradify, ServiceM8 and simPRO are the names most tradies hear first. We build custom portals, so you might expect us to say you need one. Usually you don’t.
Start with off-the-shelf
Off-the-shelf job apps cover the core of most trade businesses: quotes, scheduling, job cards, photos, invoices and a link to Xero or MYOB. They’re quick to start, priced per user, and someone else maintains them. If your work looks like most businesses in your trade, pick one, set it up properly and stick with it.
Signs you’ve outgrown it
Your work doesn’t fit their job card. Crane lifts, equipment hire, multi-day jobs or compliance steps the app has no place for.
You run a second system beside it. A spreadsheet for trucks, a folder for safety documents, a notebook for dockets.
The same details get typed twice. From the booking to the job, then from the job to the invoice.
You pay for features you’ll never use while the one you need isn’t on their roadmap.
What a custom portal changes
A custom portal is built around your jobs rather than a general template. For C2C Crane Trucks we built a dispatch calendar where the database refuses to double-book a truck, and a lift calculator that draws each truck’s load chart and checks the boom’s clearance against a building. Neither fits in a standard job app.
It also means one record for everything. Bookings from the phone and the website land in the same place, jobs flow through to invoices, and the owner sees the day at a glance.
Side by side
Off-the-shelf job app | Custom portal | |
|---|---|---|
What it covers | Quotes, scheduling, job cards, photos, invoices and a link to Xero or MYOB | Built around your jobs, like a dispatch calendar that won’t double-book a truck |
Cost to start | Priced per user and quick to start | Costs more to start, on a fixed quote agreed first |
Upkeep | Someone else maintains it | Care plan from $290 a month for hosting, backups and fixes |
Best when | Your work looks like most businesses in your trade | Your work doesn’t fit their job card, or you run a second system beside it |
Source: Carbon Black Digital. A summary of this article, not a product review.
The trade-offs
Upfront cost. A custom build costs more to start than a subscription. Ours are fixed quotes, agreed before we start.
Ownership. Your data and your way of working stay yours.
Upkeep. Someone has to maintain it. Our care plans cover hosting, backups and fixes from $290 a month.
A middle path
It doesn’t have to be all or nothing. Many businesses keep their job app and add the missing piece: an AI receptionist that feeds new enquiries into it, or a small portal for the one workflow the app can’t handle.
Not sure which you need?
A workflow diagnostic, from $1,200, maps how a job moves through your business today and tells you whether software you can buy will do the job. If it will, we’ll say so. If you go ahead with a build, the fee comes off it. Talk to us.
